THE BRIEF:
Support the delivery of one of Western Australia’s largest youth festivals, welcoming 10,000 attendees over four days and nights, while ensuring smooth operations, clear communication, and effective coordination across volunteers, staff, and suppliers throughout the build, live event, and breakdown period.
MY ROLE:
* Supported operational delivery across a 12-day build, live event, and breakdown phase.
*Managed a team of 30 volunteers from application through on-site delivery, implementing processes that improved efficiency and role clarity.
*Coordinated accommodation, transport, and travel logistics, managing arrivals, schedules, and daily movements.
*Organised daily catering for volunteers, overseeing breakfast, lunch, and dinner requirements.
*Designed and implemented an accreditation system for 600 staff, creating passes and workflows to streamline access control and role assignment.
*Ran the central operations office, acting as a central point of coordination for volunteers, staff, and suppliers. 

THE OUTCOME:
*Travel, accommodation, and on-site catering were delivered seamlessly for volunteers and staff, enabling teams to remain focused, rested, and supported throughout long build and live periods.
*Centralised coordination of arrivals, departures, and transport reduced delays and confusion, keeping daily schedules on track in a high-pressure environment.
*Well-managed accommodation allocations and clear communication improved comfort, reliability, and overall team wellbeing across the project lifecycle.
*Consistent, well-organised daily meals contributed to team morale, energy levels, and retention during extended working days.
